VACANCIES - Site Office Administrator

Location: Islington sites

Reporting to: Site Project Manager

Hours: Part time hours only

PURPOSE OF THE ROLE
To assist and support the project team with specific office duties to comply with Company Management systems under the guidance of the Contracts/Site Manager; updating ongoing project progress, from commencement to completion and handover stage; assisting the site manager to ensure the necessary supporting documentation and certificates for each dwelling are received and uploaded onto the system.

SPECIFIC DUTIES
  • Assisting site management to administer weekly site paperwork for return to Head Office, including filing of documentation.
  • Assisting site management to comply with Company Health and Safety and Quality Management system.
  • Assist site management by monitoring and checking receipt of all relevant documents relating to materials and plant, on a weekly basis, scanning or copying as necessary. You will be responsible for identifying items not received and progressing receipt, identifying and reporting at an early stage, any areas of concern. Returning completed documentation to Head Office as required.
  • Liaising with Head Office administration team on a regular basis to ensure project documents and paperwork are reviewed for change prior to requests for additional supplies.
  • Occasional typing of correspondence, photocopying or sending of facsimile/email.
  • Attend meetings as required to take minutes.

  • Good keyboard skills.
  • Confident, committed and flexible working attitude.
  • Able to prioritise workload in line with targets.
  • Good telephone manner and Customer Focus skills.
  • Good team player able to work on own initiative.
  • Good standard of written English.
